Golf in Madrid in May: The 2027 Mornings Are Being Booked Now

Golf in Madrid in May: a request seven months out, and the mornings were gone

On Wednesday 7 October, at quarter to five in the afternoon, a Madrid DMC emailed one of the courses we represent. The request was golf in Madrid in May: twelve French golfers, a multi-day programme in the city, one morning round on 8 or 9 May 2027. Eighteen holes.

The course replied at half past six. Both mornings were already taken. Tee times were available from 3pm.

Seven months of lead time. The mornings had gone anyway.

The next morning the club forwarded me the thread with one line: «I think this is an agency, can you take it?» By ten o’clock the DMC had the 2027 trade rates and the agency agreement in its inbox.

The full course is the least interesting part of this. The interesting part is a calendar that moves much earlier than it looks from an operator’s desk. The DMC also did one thing very well, better than most requests we see, and it still was not enough. That comes at the end.

So does the reason a 3pm tee time in Madrid in May is not the bad news it sounds like.

May 2027 is being contracted in October 2026

From the operator’s side, May is a spring departure. It goes into the programme in January, gets priced in February, and the client confirms in March. That is the normal loading cycle, and most clients follow it.

From the course’s side, May is something else. It is the most requested month of the year in Madrid. Spring temperatures, long evenings, no real heat yet, and the city at its best. The clubs know it. So do the companies running their annual golf day, and so do the operators who come back every season.

None of them wait for January. They book when next year’s rates come out. Which means now.

Weekends go first. Club competitions, corporate days, members, fixed events that sit on the same weekend every year. By the time a spring GIT arrives with dates, the Saturday morning has been spoken for since the autumn.

Midweek is a different picture. More tee times, more flexibility, more patience with groups. But it fills in the same order: mornings first, everything else after.

None of this is on the club website. There is no banner saying «May mornings sold out». You find out by asking. Or you find out in March.

The client has said yes to Madrid. They have not said which day

This is where most spring files actually stall, and it has nothing to do with the course.

Your client likes the idea. You have shown them how the city works for golf, two corridors out of town and a hotel in the centre. They said yes. What they have not given you is dates. They are waiting on a bank holiday, a partner, one person in the group who has not checked a diary.

Without dates you cannot request a firm rate, you cannot hold space, and you cannot push. You watch the weeks go past knowing the season is filling with groups that did commit.

We had exactly this on another destination this year. A group agreed destination and hotel combination in early June. Two months later the quote was still sitting there. Not because of price. Because nobody would pick a week.

The sale is done and you cannot touch it.

The useful part is that protecting golf in Madrid in May does not need the exact day. It needs a lot less than that.

What can be in place in October without a confirmed date

When a spring request comes in with no fixed day, these are the six things we move before the client decides. None of them needs a confirmed date.

  1. The week, not the day. «Second week of May» is enough to ask the course which mornings are still open. You learn whether the trip fits before the client falls for a date that does not exist.
  2. Midweek or weekend. The question that changes the answer more than any other. A group that can play Tuesday to Thursday has most of May. A group that can only play Saturday is competing with the club’s whole social calendar.
  3. Morning or afternoon, and what sits around it. This shapes the whole programme. Golf in the morning means the cultural visit moves to the afternoon, and the other way round. Both work. Finding out which one in March does not.
  4. The agency agreement, signed now. The step that takes the most time and gets the least attention. Clubs here do not load trade rates until the operator is registered, and registration means a signed agreement. If the signature arrives in spring, the quote waits on a PDF. Signed in October, the 2027 net rates apply from the first email.
  5. A tentative hold with a release date. Some courses will set tee times aside for an unconfirmed group, with a date to release them if the group does not close. Not always, not on every date. But it can be asked for, and when it works the client conversation changes from «let me check» to «I have it held until the 20th».
  6. The backup course on the same corridor. If the main course has no morning, the one fifteen minutes away might. Having it lined up in advance stops a reply like the one on 7 October turning into a no.

Number four is the one most often left until last, and the only one that depends entirely on the operator. One document a year. Signed in October, it does not come up again until next October.

If the group is already moving and you need something to show the client while the course confirms, this is what a usable tee time confirmation looks like.

Why the 3pm tee time is not the consolation prize

Back to the course’s reply. Mornings taken, tee times from 3pm.

Read from an office in Lyon or Leeds, that sounds like second best. In Madrid in May, it is often the better programme.

In mid May the sun sets in Madrid after quarter past nine in the evening. A 3pm start finishes comfortably around half past seven. That leaves more than an hour of light for a drink on the clubhouse terrace. And dinner in Madrid does not start before half past nine anyway.

The day arranges itself. The Prado or the Retiro in the morning, no alarm clock. A long lunch. Golf in the early afternoon, in the low side light that makes the best photos of the year. Dinner late, the way the city eats.

For a group that came to Madrid rather than to a golf resort, that is a better built trip. The golfers play. The ones who came for the city see it. Nobody gets up at half past six to be on the first tee at eight.

It does not suit everyone. A group flying out mid afternoon, or one that wants 36 holes in a day, needs the morning. But often the afternoon is not what is left over. It is what works best.

The difference is in how it reaches the client. «Only afternoons available» loses the booking. «Madrid in the morning, golf in the best light of the day» closes it.

What the DMC got right, and why it was not enough

This is the part I promised at the start.

The DMC gave two dates, not one: 8 or 9 May. It asked for the minimum handicap the course accepts, because the client had not supplied handicaps and it wanted to know before the first tee rather than at it. It asked for the full conditions: buggies, club hire, whether water was included. And it asked seven months ahead.

That is a very good request. The kind you are glad to receive, because whoever wrote it has clearly built a lot of programmes and knows what gets asked in destination.

It still was not enough, for one reason. 8 and 9 May 2027 are a Saturday and a Sunday. Both options were the same weekend.

Two dates that, to the course, were one. If either had been a Thursday, the morning would very likely have been there.

The flexibility that actually opens doors in May is not between two consecutive days. It is between weekend and midweek. That is what turns «afternoons only» into «pick your time».

It is not a mistake. It is the kind of detail you only see with the course calendar in front of you. From outside, two dates look flexible. From inside, it was one.

When is it too late for golf in Madrid in May?

There is no exact cut-off. It depends on the course, the day of the week and the size of the group.

What we can say from what we see each season: a group of twelve or more wanting weekend mornings in May is just in time in October. A group that can play midweek has room well into the winter. A group that arrives in March still finds space, but no longer chooses. It plays when there is a gap.

It is the same pattern a Stockholm operator ran into a few weeks ago while loading its 2027 programme. The ones who ask early do not pay more. They choose first.

For an operator, that has a very practical reading. October is a good month to call the client who said «let’s talk in spring». Not to sell anything. To tell them the May mornings are being allocated, and ask if they want one held.

It is an easy call to make. And the client remembers it, because nobody else is making it.

If you have a group for spring 2027

Email me at info@globalhemisphere.com with whatever you have, even without a fixed date: the rough week, number of players, and whether they can play midweek.

I will tell you which mornings are still open on the courses that suit that group, and send you the agency agreement so your 2027 net rates are loaded the day your client says yes.

So the next reply from the course does not arrive at half past six with the morning already gone.
