Good news, until you look at the price the client already has.<\/p>\n<p>In the last week of September two Panama requests landed in my inbox on the same day. A Buenos Aires agency wanted twelve single rooms in Panama City. A Punta Cana operator had 24 pax in sixteen rooms, split between The Santa Mar\u00eda and Buenaventura, and was writing to block.<\/p>\n<p>Both got the same line back from the hotel: above ten rooms the contracted rate no longer applies, and the file moves to a group quote.<\/p>\n<p>The Buenos Aires agency replied with one question and had her quote that morning. The Punta Cana operator&#8217;s file went through the hotel and came back as a group contract.<\/p>\n<p>Both did their job properly. The difference was not the group. It was the count, and when quoting a golf group in Panama that count happens before anyone opens a spreadsheet. The question is at the end.<\/p>\n<p>Some context on why this matters now. Canadian arrivals to Panama were up 41.6% in the first half of 2026, the fastest growing market in the country&#8217;s top ten. In September alone four Canadian operators had Panama open at the same time: a private club of 44 for March 2027, a Toronto agency for April, a Quebec operator for November and an inspection visit in October. The enquiries are arriving in group sizes. Which is exactly where the rate sheet stops.<\/p>\n<h2>Quoting a golf group in Panama starts with the bed, not the tee time<\/h2>\n<p>A golf request normally gets read in this order: dates, number of players, number of rounds. That is what the client sent.<\/p>\n<p>In Panama there is a line that sits above all three, and it is where the group sleeps.<\/p>\n<p>In August an Argentine agency asked for availability on two courses for five players, dates fixed. There was no answer to give. The hotel was missing, and it turned out the group was staying at another resort. Tee times at these courses are allocated among resort guests. A group sleeping elsewhere changes the answer completely, or removes it.<\/p>\n<p>It is not an arbitrary rule. It is how a resort course protects its sheet for the people paying for the rooms. But an agent who finds out after asking for availability has lost three emails, and sometimes the client, who had already chosen a hotel.<\/p>\n<p>So the first line on any Panama quote that leaves here is not the date. It is the hotel. With the hotel settled, the greenfee sits inside the stay and availability has an answer. Without it, there is nothing to answer.<\/p>\n<h2>Ten rooms: where the contracted rate stops and the group contract starts<\/h2>\n<p>Back to the two September files.<\/p>\n<p>Below ten rooms, Panama is quoted on the contracted rate, your own or the programme rate we work with. It is a same-day quote, sometimes a same-hour one.<\/p>\n<p>Above ten, the hotel treats the file as a group. Group means a different rate, a different deposit, a different cancellation window and a contract. Not better or worse. A different product, and the difference shows most when the client already has a number.<\/p>\n<p>What the Buenos Aires agency did is the interesting part. Her twelve singles were twelve people, not twelve mandatory rooms. She asked: what if it is seven rooms, five doubles and two singles? That one sentence put her back on the published rate, and the quote went out before lunch.<\/p>\n<p>Room configuration is not an operational detail. It is a lever on price and on response time. Twelve golfers travelling as couples and twelve golfers who each want their own room are two different quotes, with two different turnaround times.<\/p>\n<h3>When the group really is a group<\/h3>\n<p>The Punta Cana operator had no such lever. Sixteen rooms are sixteen rooms. His file was a contract, and the contract gave him something a loose rate never does: review dates to release rooms at no cost.<\/p>\n<p>What came next was predictable. He blocked sixteen, confirmed twelve, and wrote asking about the penalty on the four he was short. That question has an answer if it was asked at signing. Attrition is negotiated in the contract, with staggered release dates, not at sixty days out with a rooming list that is not filling.<\/p>\n<p>Any operator running GITs knows the shape of that clause. What is specific to Panama is the threshold, ten rooms, and that it applies to the contracted and programme rates, not only to rack.<\/p>\n<h2>The third person in the room<\/h2>\n<p>An operator in Los Cabos had a family of three for Panama. Two adults and a third person in the same room. He asked for a price.<\/p>\n<p>The enquiry stalled on one sentence: he needed to know whether the third-person rate had to be requested from the hotel. While that rate was being looked up, the file sat. It never got past the enquiry stage.<\/p>\n<p>Third-person and child rates are requested at contracting, not at quoting. When they are in the contract from the start, a family of three is quoted the same day as a couple. When they are not, every family becomes an email to the hotel.<\/p>\n<p>The same goes for the tour leader. In another destination this autumn, a Swedish agency director received a full 2027 rate agreement and asked exactly one question of it: whether the policy was one free tour leader per eight paying rooms. Not the course, not the hotel. Her own bed, because that is the line that decides whether the trip is worth running.<\/p>\n<h2>Inclusions: one sheet for two courses<\/h2>\n<p>A Toronto agency is closing a golf group for April 2027 with nights at Buenaventura and at The Santa Mar\u00eda. The hotel confirmed the buggy was included at Buenaventura. She wrote back to ask whether it was also included at Santa Mar\u00eda.<\/p>\n<p>She was right to ask. On a trip with two hotels and two courses, assuming the inclusions match is the most common way to find a charge on the second hotel&#8217;s invoice.<\/p>\n<p>In this case the answer was yes: at both resorts the shared buggy sits inside the greenfee. The question was still the right one, and what stayed with me from that thread was something else. It should not need asking twice.<\/p>\n<p>So the inclusions for both courses now go on a single sheet, with what matches and what differs. Where everything matches, it says so in one line. Where something differs, it is visible at a glance.<\/p>\n<h3>The course that opens two days a week<\/h3>\n<p>There is a third round many operators want in the programme: Club de Golf de Panam\u00e1, a members&#8217; club that takes visiting play on Tuesdays and Wednesdays only, four fourballs a day.<\/p>\n<p>In September a couple wanted to play it on a Thursday in January. That Thursday does not exist. A closed itinerary came back with \u00abnot that day\u00bb, and the remaining rounds had to be moved.<\/p>\n<p>When the club is in the programme, the itinerary is built from that day outwards. The Tuesday or Wednesday is fixed first, and the other rounds settle around it. A small piece of information that saves rebuilding a whole proposal.<\/p>\n<h2>Blackout dates on a flat rate<\/h2>\n<p>At the end of September the hotels sent their stop-sales notice. One line said the closure applied to the flat rates on agreement contracts, on specific dates.<\/p>\n<p>In plain terms: the contracted rate is fixed all year, except on the days when it is not. And those days are not on the rate sheet. They arrive in a separate email, when they arrive.<\/p>\n<p>An operator who quotes a November long weekend on the contracted rate, sends the price to the client and gets \u00abdoes not apply on those dates\u00bb three days later has a problem that is not his, and that he pays for.<\/p>\n<p>What I do with those notices is simple. They go on the calendar the day they arrive, and any quote that falls near them carries the line \u00absubject to blackout dates\u00bb until the hotel confirms. One line in the proposal saves one awkward call to the client. The closures tend to fall in the weeks described in <a href=\"https:\/\/www.globalhemisphere.com\/eng\/panama-golf-season-when-to-sell\/\">the Panama golf season piece<\/a>, so they are rarely a surprise, as long as someone is keeping the calendar.<\/p>\n<h2>The five lines in the loading file<\/h2>\n<p>Put together, the file I fill in before quoting a golf group in Panama has five lines. None of them is the price. For a product manager loading the destination for 2027, they are the five things worth settling at contracting so the January enquiries can be answered without emailing anyone.<\/p>\n<ul>\n<li><strong>Which hotel, each night.<\/strong> The stay decides course access. Hotel first, tee time second.<\/li>\n<li><strong>The room count and its configuration.<\/strong> Doubles, singles, triples. Ten rooms is where the contracted rate stops and the group contract starts, with its own deposit, cancellation and attrition schedule.<\/li>\n<li><strong>Who sleeps with whom.<\/strong> Third person, child, tour leader. In the contract, not in a later email.<\/li>\n<li><strong>What each greenfee includes, per course.<\/strong> Buggy, practice range, and the two days the club opens. One sheet for both hotels.<\/li>\n<li><strong>Whether the dates touch a blackout.<\/strong> The stop-sales notice goes on the calendar before it goes in a folder.<\/li>\n<\/ul>\n<p>With those five settled, the spreadsheet fills itself. Without them, it is a sheet of assumptions, and each assumption has a price. It is usually the operator who pays it.<\/p>\n<h2>What is already in place<\/h2>\n<p>Of those five lines, four are settled before a request comes in. That is a large part of what representing the destination means: the inclusions for both courses are on one sheet, the third-person and child rates are asked for at contracting rather than when a family turns up, the stop-sales notices go into my calendar the day they leave the hotel, and the club&#8217;s day is fixed before the rest of the week is ordered.<\/p>\n<p>The fifth line only the operator can answer, because the operator knows the client: how the group wants to sleep. And, as September showed, it is the line that moves the price most.<\/p>\n<p>There is also a programme rate that is not published. It is requested with a PIN and stays between the agency and the hotel. That does not belong in a blog post. The agency that had her quote before lunch did not ask about the price or the availability. She asked how many rooms the group actually needed.<\/p>\n<p>Twelve people who could sleep in seven rooms. Same people, same hotel, same dates. A different configuration, and a quote that went from \u00abwait for the hotel\u00bb to \u00abhere it is\u00bb.<\/p>\n<p>The Punta Cana operator did not have that option and did not need it. His group was a group, he signed a contract, and the contract protected him when the list stopped at twelve. Two correct routes.
