Which means more of your clients are going to end up there, and more of them are going to arrive with a picture in their head that nobody corrected.<\/p>\n<p>The complaint that follows is never about the resort. It is about the gap between the brochure and the beach.<\/p>\n<h2>Why the post-trip email goes wrong<\/h2>\n<p>Read the reviews your own clients leave. Not the ratings, the wording.<\/p>\n<p>Almost none of them say the hotel was poor or the course was not worth the greenfee. What they say is: beautiful, but nobody told me about.<\/p>\n<p>That \u00abbut\u00bb belongs to you, not to the supplier.<\/p>\n<p>Your client does not measure the trip against reality. They measure it against the film they ran in their head when they read your proposal. Match the film and they rebook. Miss it and they spend the flight home writing down the difference.<\/p>\n<p>The fix is information, not investment. You do not need a better product. You need to describe the one you already sell, in full, before they leave.<\/p>\n<p>And one of the seven points below is the one operators habitually leave out because they think it weakens the sale. It is the single item that prevents the most complaints. I will flag it when we get there.<\/p>\n<h2>The pre-departure briefing for golf groups: seven points, Panama edition<\/h2>\n<p>This is the script I use with groups heading out there. It is written to be lifted into an email and sent as is.<\/p>\n<h3>1. The early tee time is the best round of the day, not the leftover slot<\/h3>\n<p>Panama plays December to April, in the dry season, and groups go out early.<\/p>\n<p>A client who sees 07:15 on an itinerary with no explanation assumes they got the slot nobody wanted. Tell them the course is cool, empty and at its best at that hour, and that a one o&#8217;clock round in Panama is a different sport, and the same tee time becomes a privilege.<\/p>\n<p>Identical booking. Two completely different trips.<\/p>\n<h3>2. There are two bases, and the order is deliberate<\/h3>\n<p>City first, coast second.<\/p>\n<p>In the city the group stays at The Santa Mar\u00eda, course on the doorstep, skyline behind the green, dinner in town. Then it moves to Buenaventura on the Pacific coast, where the Jack Nicklaus course sits in front of the ocean.<\/p>\n<p>A client who thinks they booked seven nights at a beach resort and gets a city with traffic and glass towers feels sold something else.<\/p>\n<p>A client who knows the trip has two chapters treats the city as the opening and the coast as the reward. Same itinerary. Different story.<\/p>\n<h3>3. Buenaventura is Pacific, and Pacific is not Caribbean<\/h3>\n<p>This is the one nobody says.<\/p>\n<p>Operators hold this back because they think it costs them the booking: the sand is darker than a Caribbean postcard, the Pacific tidal range is wide, and the water is not the turquoise your client has seen in Antigua or Punta Cana.<\/p>\n<p>Hold it back and you absorb the whole complaint on the way home.<\/p>\n<p>Say it, and say it properly. The Panamanian Pacific has a scale the Caribbean does not, sunsets that carry the evening on their own, and a beach where nobody is queueing for a lounger. It is not a lesser coast. It is a different one.<\/p>\n<p>The client you warned arrives and sees what you described. The client you did not warn arrives and sees what is missing. Then they write it down where your next client will read it.<\/p>\n<h3>4. City to coast is ninety minutes, and it goes in the itinerary<\/h3>\n<p>An hour and a half by road. Hardly dramatic, but it has to be stated.<\/p>\n<p>A scheduled transfer is logistics. An unannounced one is \u00abthey had us on a coach half the morning\u00bb.<\/p>\n<p>Put departure and arrival times on the document. Build a stop into it and dead time turns into part of the trip.<\/p>\n<h3>5. Humidity is the real variable, and two items in the bag handle it<\/h3>\n<p>Panama is humid all year. The dry season fixes the sky, not the air.<\/p>\n<p>Tell them to pack two gloves and a spare polo for the clubhouse. Tell them to drink before they are thirsty rather than after.<\/p>\n<p>It reads like a small thing. It is not. It is the kind of detail only someone who has been there gives, and your client registers exactly that. You are not warning them about a problem. You are proving you know the ground.<\/p>\n<h3>6. The currency is the US dollar and the sockets are American<\/h3>\n<p>Panama runs on the US dollar. Sockets are American type, 110 volts.<\/p>\n<p>For a British or European client that means one specific thing: an adapter. Without it they spend their first evening hunting for one instead of eating.<\/p>\n<p>Two lines in an email. They save you a message at eleven at night your time, which is roughly when they check in.<\/p>\n<h3>7. The non-playing partner gets a separate plan, with a separate email<\/h3>\n<p>Casco Viejo, the Canal, spa, shopping. In the city it is all within ten minutes.<\/p>\n<p>Send the partner itinerary on its own, with their name in the subject line. Not as an appendix to the golf.<\/p>\n<p>A happy partner does not cancel three weeks out. And in a group of eight, one partner dropping takes a player with them.<\/p>\n<p>On the Canal, one practical note: the locks are worth seeing when vessels are actually transiting, and those windows move. That is a question to ask in advance, not on the morning. It is the difference between watching a two hundred metre ship cross in front of you and looking at a concrete wall.<\/p>\n<h2>Send it three weeks out, not the night before<\/h2>\n<p>Three weeks. Not earlier, not later.<\/p>\n<p>Earlier and it is forgotten. The night before and there is no time left to buy an adapter, pack a second glove or reset anyone&#8217;s expectations about the colour of the sand.<\/p>\n<p>Three weeks is the window where the client can still act and is already mentally on the trip. It is when they actually read what you send.<\/p>\n<p>There is a second effect nobody plans for. That email reopens the conversation at the best possible moment. They reply, they ask, they get excited. That is where extra nights, upgrades and next year&#8217;s second group come from.<\/p>\n<p>The briefing is not aftercare. It is sales.<\/p>\n<h2>What it gives back<\/h2>\n<p>If you are still reading, it is because you already do the hard part well: you pick destinations that stand up and you defend the price in front of a client who asks questions. Plenty of operators do neither.<\/p>\n<p>What tends to fail is the last mile. The stretch between \u00aball confirmed\u00bb and \u00abclient landing\u00bb.<\/p>\n<p>Ten lines cover that stretch, and they return three things.<\/p>\n<p>Zero surprise complaints. What is left are genuine incidents, and those get solved in destination.<\/p>\n<p>Better reviews. A client who receives what they expected writes differently from one who receives something close to it.<\/p>\n<p>And the one that matters commercially: repeat business. They call you next time instead of opening a search engine, because what stayed with them is that they always knew where they were going. That beats any discount you could have offered.<\/p>\n<p>If the hours each group eats is your real concern, that deserves its own arithmetic, and it is <a href=\"https:\/\/www.globalhemisphere.com\/eng\/golf-group-profitability-tour-operators\/\">worked through here<\/a>, where the margin is calculated against your time rather than your commission.<\/p>\n<h2>Back to the two calls<\/h2>\n<p>The one you take on the second ring and the one you turn face down.<\/p>\n<p>Nothing between them is a better hotel or a different course. It is an email of ten lines, sent three weeks out.<\/p>\n<p>I owe you the flag: the point operators habitually leave out is number three. Buenaventura is Pacific, and Pacific is not Caribbean. It gets held back out of fear that it subtracts, and it is precisely the line that turns a complaint into an expectation met.<\/p>\n<p>Describing what is actually there does not devalue the trip. It raises it. Because your client stops comparing you to a photograph and starts comparing you to the operator down the road, who told them nothing.<\/p>\n<p>The rest of it, the order of the bases, the tee times, who confirms what and when, is already built.
