That is when the GIT bookings for the mid-December to mid-April window get built, and it is when tee time confirmation for golf groups becomes the one question you cannot answer properly yet.<\/p>\n<p>\u00abAre the tee times guaranteed?\u00bb<\/p>\n<p>He is asking in August about a round he will play in February. You have availability. You do not have a confirmed time. And what you say next decides whether he books with you or goes back to the operator who answered faster.<\/p>\n<p>Tee time confirmation for golf groups is treated as paperwork at the end of the process. It is not. It is the thing that sets when you invoice, how much risk you carry, and what you are allowed to put in writing at the point of sale.<\/p>\n<p>Most operators get the sequence wrong, and it costs them weeks.<\/p>\n<h2>The gap nobody accounts for<\/h2>\n<p>A group says yes in August. The money lands in January.<\/p>\n<p>Those five months are not neutral. People drop out. Someone asks to split the payment. A corporate client restructures and suddenly the February trip is a difficult internal conversation.<\/p>\n<p>None of that is a destination problem. It is a cash timing problem, and it sits entirely in the space between the verbal yes and the deposit.<\/p>\n<p>You are not paid for carrying that risk. You just carry it.<\/p>\n<p>Which is why the order in which you ask for things matters more than how well you ask.<\/p>\n<h2>Tee time confirmation for golf groups: four states, one word<\/h2>\n<p>English gives us one word, confirmed, for four different things. Your client hears the word and assumes the strongest version of it.<\/p>\n<p><strong>Availability.<\/strong> The course has space on those dates. It belongs to nobody. It is a snapshot of the moment you asked.<\/p>\n<p><strong>Provisional hold.<\/strong> Times are held in your name with an expiry date attached. Real, but on a clock.<\/p>\n<p><strong>Confirmed.<\/strong> The slots belong to the group, within a stated window, pending names and pending the payment schedule.<\/p>\n<p><strong>Reconfirmed.<\/strong> Final time, names in, order of play set. This is the only state that belongs on a voucher.<\/p>\n<p>You sell at stage two. You get paid at stage four. There are weeks in between.<\/p>\n<p>An operator who treats a hold as a reconfirmation oversells in August and explains himself in January. The one who separates them sells exactly the same package and sleeps better.<\/p>\n<h2>What you can put in writing at each stage<\/h2>\n<p>When a client asks whether it is confirmed, he is not asking for a document. He is asking whether he can tell the other seven, or his board, that it is done.<\/p>\n<p>At availability: \u00abThere is space on those dates. It is not ours yet. Give me an answer this week and we hold it.\u00bb<\/p>\n<p>At hold: \u00abWe are holding the times until the 20th. If the group confirms before then, they are yours.\u00bb<\/p>\n<p>At confirmed: \u00abThe slots belong to the group. Exact times are set once we have all the names.\u00bb<\/p>\n<p>At reconfirmed: \u00abYou play this course, at this time, in this order. Here is the voucher.\u00bb<\/p>\n<p>None of those four sentences overpromises. None of them is vague either, which is the more common failure.<\/p>\n<p>They work the same for eight friends and for a forty pax incentive.<\/p>\n<h2>The timeline, from enquiry to voucher<\/h2>\n<p>This is the order we run with groups at <a href=\"https:\/\/www.globalhemisphere.com\/eng\/golf-trip-to-casa-de-campo\/\">Casa de Campo\u00ae<\/a>, and it applies to any Caribbean stay and play package in high season.<\/p>\n<p><strong>1. Enquiry.<\/strong> Dates, pax, room category and how many rounds the group actually wants. That is enough to hold.<\/p>\n<p><strong>2. Hold with an expiry date.<\/strong> Always ask for the exact date it lapses, in writing. A hold without a stated expiry is not a hold, it is a friendly conversation.<\/p>\n<p><strong>3. Names and rooming.<\/strong> This is where most operators lose a week waiting for a perfect list. Send what you have and flag what is missing.<\/p>\n<p><strong>4. Reconfirmation of tee times.<\/strong> Requested with names attached and with your own deadline stated. More on that below, because this is where the leverage is.<\/p>\n<p><strong>5. Prepayment.<\/strong> Casa de Campo\u00ae requests prepayment fourteen days before arrival. That is not a surprise and it is not negotiable. It is knowable from the first email you send.<\/p>\n<p><strong>6. Final documentation.<\/strong> Vouchers, times, transfers and on the ground contacts.<\/p>\n<p>Put steps 2, 4 and 5 into your proposal with real dates on them. Your client stops seeing someone who chases money and starts seeing someone who runs a process.<\/p>\n<p>Same work. Different read.<\/p>\n<h2>Three decisions that come before any hold<\/h2>\n<p>A hold requested on half the information gets reconfirmed twice and amended three times. Ask these on the first call.<\/p>\n<p><strong>How many rounds they actually want.<\/strong> Not how many nights they are staying. A six night group does not play six days. They play four and rest two, or five with the last day given to the flight. Hold six, reconfirm six, then cancel two, and you have spent your credit with the course for nothing.<\/p>\n<p><strong>Whether they repeat a course.<\/strong> Plenty of groups want to play the best one twice rather than tick off three. It costs one sentence to ask and it saves rebuilding the week.<\/p>\n<p><strong>The order of play.<\/strong> Almost nobody raises this, and it is the thing clients talk about when they get home.<\/p>\n<p>The instinct is to put the signature course on day one while everyone is fresh. That is a design error.<\/p>\n<p>Play the best course on Monday and the rest of the week runs downhill. Play it last and the whole week builds.<\/p>\n<p>At Casa de Campo\u00ae that means opening on Dye Fore or The Links and finishing on Teeth of the Dog\u00ae, which Golf Inc. named Best Renovation of 2026 in the public course category after a fifteen million dollar restoration. It costs nothing extra. You request it with the booking, the same way you request a time.<\/p>\n<p>And it positions you, in front of your client, as somebody who has been there.<\/p>\n<h2>One email, nine questions, no reply<\/h2>\n<p>An email with nine questions does not get answered the same day. It gets parked for when there is time, and in high season that moment never arrives.<\/p>\n<p>An email with one request and a date gets answered.<\/p>\n<p>Split them. Hold in one. Names in another. Reconfirmation in another. Prepayment in another.<\/p>\n<p>It looks like more work and it is four short emails instead of three long ones and two chasers.<\/p>\n<p>There is a second benefit that is less obvious. Four separate requests give you four dated replies in writing. That is your protection if anything moves later.<\/p>\n<h2>The sentence that moves you up the queue<\/h2>\n<p>Most reconfirmation requests read like this: \u00abCould you please reconfirm the tee times when you get a chance?\u00bb<\/p>\n<p>That request has no date on it. A request with no date goes to the bottom of the pile in any office in the world.<\/p>\n<p>The version that works: <strong>\u00abI need the reconfirmation before the 12th because I am invoicing the client that day.\u00bb<\/strong><\/p>\n<p>You have not asked for a favour. You have given a reason and a deadline, and whoever reads it now knows where to file it.<\/p>\n<p>If it still does not arrive on time, you have it in writing that you asked with margin. The sentence protects you twice.<\/p>\n<h2>When the course cannot reconfirm<\/h2>\n<p>It is rare and it happens. A tournament moves, a members day lands badly, maintenance runs long.<\/p>\n<p>A group playing three courses gives you room to reorder the week without touching the price or the number of rounds. Teeth of the Dog\u00ae, Dye Fore and The Links do not compete with each other. They rotate.<\/p>\n<p>What damages a trip is not the change. It is finding out late.<\/p>\n<p>That is the real reason to reconfirm weeks out rather than days out. Not because the course is slow, but because you need room to move if the answer is not the one you wanted.<\/p>\n<p>Five weeks of notice is logistics. Five days is a complaint.<\/p>\n<h2>What this is worth<\/h2>\n<p>Invoicing ten days earlier sounds like nothing until you multiply it by the groups you move in a season.<\/p>\n<p>Ten fewer days of exposure per group. Fewer late cancellations, because a client who has paid stops reconsidering the trip. Fewer hours spent chasing transfers in August while half your book is on holiday.<\/p>\n<p>That is <a href=\"https:\/\/www.globalhemisphere.com\/eng\/golf-group-profitability-tour-operators\/\">margin you already earned<\/a> and did not collect, and you did not negotiate a single rate to get it.<\/p>\n<p>If you have read this far, you are probably the kind of operator who will not invoice against an unreconfirmed tee time. That instinct is rarer than you would think, and it is exactly what keeps you out of the disputes other people pay for out of commission.<\/p>\n<p>The instinct was never the problem. Not having the calendar in front of you while you sold was.
