Eight players, four nights, first week of October, Madrid.

You do what everyone does. You go for the hotel first. Two or three you already know, one has the better rate and the better photos, and you hold it. The expensive part is handled.

Courses come later. That bit is easy.

Ten days on, the client asks for a specific course on the Thursday and you find out it is fifty minutes from that hotel at eight in the morning. Rush hour, the M-30 solid. The only tee time left that day is 8:20. To make it, the group is on the coach at seven, the morning after dinner in the city centre.

The trip still sells. But you have lost the best morning of the week, and you lost it the day you booked the hotel.

Here is the part nobody says out loud. On a Madrid golf trip the hotel is not an accommodation decision. It is the decision that quietly picks which courses your group can play and what time they get up.

Five questions at the end that come before you hold anything. First, why Madrid punishes this order more than any other European golf city.

Why the hotel decides the courses on a Madrid golf trip

Credit where it is due, because this explains the whole problem.

Leading with the hotel is not sloppiness. It is commercial instinct. The hotel is the first thing your client judges, the first thing the organiser forwards to the rest of the group, and the thing that makes the trip feel expensive or cheap. Protecting it is what a good operator does.

The mistake is not starting with the hotel. It is that in Madrid the hotel comes with geographic small print.

In Lanzarote, on the Costa Tropical, in a Caribbean resort, the accommodation and the golf share a property or sit ten minutes apart. You pick the hotel and you have picked nothing else.

Madrid does not work like that. Six million people, courses scattered across the metropolitan ring, traffic that redraws the map twice a day, and clubs whose access rules change depending on the day of the week.

Booking a hotel in Madrid means choosing a radius and a departure time. Everything else follows.

Madrid is not one golf destination, it is four

This is what the map you send the client does not show.

The courses are not clustered. They sit in four zones that do not talk to each other, and crossing from one to another on a weekday at eight in the morning can cost more time than the airport transfer.

The northwest. Boadilla, Pozuelo, Las Rozas, up towards the sierra and El Escorial. A good share of the golf an international group actually wants to play. Easy from the west side of the city, painful from the east.

The north. Alcobendas, San Sebastián de los Reyes, the A-1 corridor. Close to the airport, which suits a group landing late and playing early the next day.

The east. The Henares corridor towards Alcalá. A different world from the northwest, and very sensible if the group sleeps near Barajas.

The city itself. Yes, you can play inside Madrid. It is the card almost nobody uses and the one that saves day one, when a group lands jet lagged and you do not want to put them on a coach.

A group sleeping in the centre and playing three northwest courses does six transfers of forty to fifty minutes across four days. A group sleeping in the right zone does six of fifteen or twenty.

That is two and a half hours across the trip. The same two and a half hours they later wish they had for a proper lunch or a second round of drinks.

The three hours nobody puts in the itinerary

Madrid traffic keeps office hours. So does golf. That is the problem.

Good tee times for a group of eight sit between 8:00 and 9:30. The radial roads into the city choke between 7:30 and 9:30. If your group sleeps inside and plays outside, they travel against the flow, which is what you want. If they sleep outside in the wrong direction and cross the city, they travel with it.

Nobody mentions this when you request rates. A hotel sells you nights, not minutes.

Those minutes get paid for three times. Once at the alarm clock, which in a group of men in their fifties is a genuine complaint. Once in the safety margin you build in before the tee time, because a missed slot does not come back. And once on the way home, when the group wants to be in the centre by seven and walks in at half eight.

A golf trip is judged on how unhurried it felt, not on how many holes were played. The group that runs tight all week says it was fine. The group that runs loose rebooks.

And you know what a repeat GIT is worth: the second time costs you a third of the hours for the same commission. I ran that arithmetic in full in the twenty hours nobody bills on a golf group.

Weekends in Madrid are a different destination

This is the trap that breaks most groups, and the one you see coming last.

A large share of the good golf around Madrid is members’ golf. And a members’ club on a Saturday morning is full of members.

Which means visitor access at the weekend does not depend on your budget or your relationship. It depends on each club’s policy, on the day, sometimes on the hour. Some open a window to visitors. Some never do, whatever non member rates they may list on their own website.

A published rate is not an invitation. Those are two different things, and confusing them costs you a complaint.

So a Thursday to Sunday Madrid golf trip and a Sunday to Thursday one are not the same product, even with identical nights and the same hotel. Different courses, different feel.

If you can move the dates by twenty four hours you often unlock the course the client asked for by name. It is the cheapest lever you have and almost nobody pulls it.

What the group is really buying when it buys a hotel

That was the logistics. Here is the half that decides whether they book with you.

Eight golfers going to Madrid are not going only for the golf. If it were only golf there are cheaper, more efficient destinations, and they know it.

They come because after the round there is a city. Dinner, wine, football on a screen, museums for the one who does not play, shops for whoever came along. That is the argument that wins Madrid against an isolated resort, and it lives in the hotel, not on the course.

So you have two forces pulling opposite ways. Golf pulls outward. The city pulls inward.

Solving that is not splitting the difference. It is deciding what this group came for, then picking the hotel from there.

A group of friends who have played together for twenty years and came for the golf sleeps near the courses and goes into the centre one night. A corporate group with non playing partners sleeps in the centre and accepts a longer transfer, and then the golf concentrates on two courses instead of four.

Both trips sell. The one that does not sell is the one that never decided which of the two it was.

Five questions before you hold the hotel

Use this on the next Madrid enquiry that lands. Five questions, all of them to the client, none to the hotel. With those five answers on the table the hotel picks itself, in the right order.

Is there a course the group asks for by name? If there is, that course is the anchor and the hotel goes around it. If there is not, you have full freedom and you should use it, because the best trip is rarely the one with the loudest names.

Which days of the week? Weekday or weekend changes the map of accessible courses. Before you promise anything, confirm what is genuinely open to visitors on those specific dates.

What time does this group want to play? Not everyone wants 8am. A group happy to tee off at eleven changes the traffic equation completely and reopens hotels you had ruled out.

How many are not playing, and what will they do? The non playing partner decides more trips than people think, and decides earlier than the golfer. Two non players and the hotel moves towards the centre while the golf gets simpler.

What does the group want in the evening? Dinner in the city, something quiet near the course, or no strong view. It is the softest of the five and the best predictor of whether they rebook.

Notice what they have in common. Not one of them is about price. And all five move the final cost more than negotiating two points with a hotel ever will.

The right order, and who sets it

Courses first. Times second. Hotel last, chosen from a map you already have.

Obvious written down. Less obvious with nine live enquiries, a client who wants an answer today, and a hotel as the one thing you can close quickly to feel like you are moving.

Which is why good operators make this mistake. It is not a judgement error, it is a sequencing error, and sequence belongs to whoever holds the map.

What I do with operators on Madrid is hand you the map before you hold anything. Which courses are actually accessible on those dates, which zone saves you the two and a half hours of coach, and which hotel fits the group that actually turned up rather than the one in the brochure. There is more on how we handle Madrid and on how I work with agents and tour operators.

You keep your client, your brand and your margin. What you hand over is the part no map shows.

Try it on the enquiry already on your desk

If you have a Madrid sitting in your inbox right now, run it backwards before you reply. Courses and days first. Tee times second. Hotel last.

Email me at info@globalhemisphere.com with the dates, the number of players and whether any course has been requested by name, and I will come back with what is genuinely possible on those days and which zone gives you the least rushed trip. Before you hold anything.

That is the email that saves you the two and a half hours of coach.

Free resource for travel trade

The 7-piece checklist to fill a golf group

The same one I use for groups in Casa de Campo®, Madrid, Panama, Lanzarote and Playa Granada.
